PRIVACY NOTICE

The Girevoy Sport Union (GSU) are committed to protecting and respecting your privacy. For any personal data you provide for the purposes of your membership, the GSU is the Data Controller and is responsible for storing and otherwise processing that data in a fair, lawful, secure and transparent way.

What personal data we hold on you

You may give us information about you by filling in forms at an event or online, or by corresponding with us by e-mail, messenger or otherwise. This includes information you provide when you register with the GSU, discussion boards or enter competitions.  The information you give us may include your name, e-mail address, gender, bodyweight, age, name of your coach, name of the Club you attend, address of Club, and your lifting data (results and personal bests). We may also ask for relevant health information as part of a competition entry which is classed as special category personal data.

 

Why we need your personal data

The reason we need your data is to be able to administer your membership, and provide the membership services you are signing up to when you register with The GSU or sign up for one of our competitions. Our lawful basis for processing your personal is that we have a contractual obligation to you as a member and/or participant to provide the services you are registering for.

Reasons we need to process your data include:

For competition entry

  • sharing personal data with competition hosting club officials to enter events
  • sharing personal data with competition facility providers to manage access; and
  • sharing personal data with leagues, National associations (such as the English Kettlebell Sport Association (EKA), Association of Kettlebell Sport Ireland (AKSI), Scottish Kettlebell Sport Federation (SKSF) and other competition providers for entry in events.

For funding and reporting purposes

  • sharing anonymised data with a funding partner as condition of grant funding e.g. Local Authority; and
  • analysing anonymised data to monitor trends

For membership and club management

  • processing of membership forms and payments;
  • sharing data with committee members to provide information about club activities, membership renewals or invitations to GSU events;
  • publishing of competition results and National records; and
  • sharing personal data with National associations (such as the English Kettlebell Sport Association (EKA), Association of Kettlebell Sport Ireland (AKSI), Scottish Kettlebell Sport Federation (SKSF) for National Qualification purposes.

Marketing and communications (where separate consent is provided)

  • sending information about promotions and offers from sponsors;
  • sending information in the form of a newsletter

 

Any special category health data we hold on you is only processed for the purpose(s) of fitness/ health check to allow the safe participation in events or passing health data to competition hosts to allow the safe running of events. This information will be stored for 4 weeks after an event and then destroyed securely. We process this data on the lawful basis of consent. Therefore, we will also need your explicit consent to process this data, which we will ask for at the point of collecting it.

We may collect personal data from non-members (e.g. such as any non-member participant who fills in a health disclaimer or competition entry form) This information is dealt with in the same way as members and will be stored for 4 weeks after an event and then destroyed securely.

The Girevoy Sport Union has the following social media pages: Facebook, Twitter, Instagram, Youtube. All members are free to join these pages. If you join one of the Social Media pages, please note that provider of the social media platform(s) have their own privacy policies and that the club do not accept any responsibility or liability for these policies.  Please check these policies before you submit any personal data on the club social media pages.

 

Who we share your personal data with

When you become a member of the The Girevoy Sport Union you have access to member’s only discounts with our sponsors Wolverson Fitness. In order to administer the discount the Girevoy Sport Union has to supply Wolverson Fitness with your Name and your Members Number. We do not share any contact details. You can opt in to this during the member sign up and/or renewal process. You can also revoke your approval for this at any time by not opting in when you renew or by contacting us on girevoysportunion@gmail.com. Please note that in order to receive the discount you must have opted in to allow us to share your name and membership number with Wolverson Fitness.

The Girevoy Sport Union aims to work closely with other kettlebell organisations within the UK including National Organisations such as EKA (English Kettlebell Association), SKSF (Scottish Kettlebell Sport Federation), Kettlebell Sport Wales and Association of Kettlebell Sport Ireland (AKSI). If you have approached any National Organisation for National Team qualification they may request that we (the GSU) share your personal details and competition data (weigh-in weight) with them. We do this on the basis of contract as part of your agreement with the National Organisation and your participation in our competition(s).

The GSU also on occasion may run competitions or take part in leagues in association with other National, International or Private Federations or leagues (including but not limited to: Grassroots Kettlebell League, World Association of Kettlebell Sport Club Grand Prix (WAKSC), and the Women’s International Kettlebell League). For scores to be counted in these leagues you will have the option of opting in on the competition entry form. If you choose to opt in then we (the GSU) share your personal details (name, email address) and competition entry and results data with the relevant organisation.

Please note these third party organisations have their own privacy policies, please check these policies before opting in, GSU do not accept any responsibility or liability for these policies.

The Girevoy Sport Union does not supply any personal data it holds for this purpose to any other third party. The GSU’s data processing may require your personal data to be transferred outside of the UK for the purpose of cloud hosting, entry into International Leagues or Competitions where you have opted in to consent.  Where the Club does transfer your personal data overseas it is with the appropriate safeguards in place to ensure the security of that personal data.

 

Special Category Data

As part of entering a GSU competition you may be required to fill out a health questionnaire (PARQ) and/or waiver. This information is classed as special category personal data. The GSU may need to supply this special category data to the competition hosting club or/or venue management to ensure a safe competition environment. We process this data on the lawful basis of consent. Therefore, we will also need your explicit consent to process this data, which we will ask for at the point of collecting it. Please note are not obliged to share your personal data with the Girevoy Sport Union. If you choose not to share your health information in with us we may not be able to register your entry to a competition or league.

 

How long we hold your personal data

For memberships we will hold your personal data on file for as long as you are a member with us. Any personal data we hold on you will be securely destroyed after four years of lapsed membership. In regards to competition entries from both members and non-members we will hold your personal and special category data for four weeks after the competition date after which time it will be destroyed securely. Your data is not processed for any further purposes other than those detailed in this policy.

 

Your rights regarding your personal data

As a data subject you may have the right at any time to request access to, rectification or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data, including direct marketing; to the portability of your personal data and to complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office about the processing of your personal data.

 

As a data subject you are not obliged to share your personal data with the Girevoy Sport Union. If you choose not to share your personal data with us we may not be able to register or administer your membership or entry to a competition or league.
